Hiring a nanny or any member of domestic staff requires more than simply an employment contract and an agreed salary; it also requires a  regular payslip — a document needed on or before payday that tells how much wage is earned on a weekly or monthly basis, depending on the salary frequency agreed. The payslip must include the total pay before any deductions, and also what these deductions are for. Deductions will include the employee’s tax, national insurance and and pension contribution if applicable.  If the employee has a student loan this will also be deducted from the gross salary. Finally, the payslip will note the final net amount payable to the employee. The payslip must always note the time period the pay covers and the employee’s relevant tax code.

HMRC Registration

Little Ones will act as the first point of contact with HMRC on your behalf. Our experts will register you as an employer, set up your PAYE scheme and take care of the Full Payment Submission (FPS) and Employer Payment Summary (EPS). We will make sure all your obligations as an employer are met with HMRC.

Pension Enrolment

Under the Pension Act 2008, every employer in the UK is obliged to enrol their employees in a pension scheme. Normally, families and parents don’t think of themselves as employers and they don’t think that they need to make a contribution to their domestic staff’s pension, but if you are thinking of hiring a nanny, housekeeper, nanny-housekeeper or any other domestic staff, you are considered an employer under UK law, which comes with certain obligations, one of them being that you have to enrol your employee on a pension scheme.

Your dedicated Little Ones Payroll Assistant will send you monthly/quarterly reminders with the calculations and mechanisms to pay your employee’s income tax and national insurance contributions, so you keep your obligations up to date. You don’t need to worry about filing your employer’s annual tax return – your Payroll Assistant will do this for you.

How Do I Pay Taxes for my Nanny?

Nannies along with other employed professionals, should pay tax from the money they earn. This is done through the Pay As You Earn (PAYE) scheme, which will be operated by the employer or will be automatically generated through an agency’s payroll system. Little Ones will set up a PAYE scheme for our clients and help navigate the employer duties.  We will take care of all tax-related responsibilities for an easier salary transaction.

Little Ones will calculate the tax liabilities due on behalf of the nanny every month or quarter depending on the client’s preference.  This will include a summary of income tax, employee and employer’s national insurance contributions due.  Little Ones Payroll will provide clients with HMRC’s bank details and detail the process to pay them directly. We aim to  make this transaction simple and help clients to avoid any late payments which may incur interest charges.

Your Record Keepers

Your dedicated Payroll Assistant will keep your employee’s monthly payslip, P60 and pension information on your behalf. They will send you the necessary documents each month, but if you need them in the future and you cannot find them, we will send you copies of any of these documents upon your request.
